Skiptocontent Formanyorganisations,month-endandyear-endclosingprocessesmaynotrunassmoothlyastheywouldhaveliked.Toalleviatethisproblem,Dynamics365Finance(D365F)comeswiththe PeriodCloseWorkspace(PCW). ThePCWisadedicatedworkspacedesignedtohelpfinancemanagersandparticipantsintheclosingprocesstoworkinastructuredwayandmaintainanoverviewofthestatusoftheprocess. Structure ThefollowingfigureshowsasimplifiedoverviewofthecomponentswithinPCW. AperiodcloseprocessiscarriedoutbasedonaClosingSchedule.TheclosingscheduleisgeneratedfromaTemplateandcarriedoutwithinthetimeframespecifiedintheCalendar. AtemplateconsistsofalistofTaskstobecarriedout.EachtaskcanbeassociatedwithatasklinkthatopensaD365Fmenupoint.Also,onthetaskyoucandefinethedayoffsetandtimedeadlineforthetask. Onthetask,youcanselecttheClosingRoleaccountableforthetaskandtheLegalEntitiesinwhichthetaskmustbeperformed. FinancialPeriodCloseConfiguration Inthefollowingsubsections,wewilltakealookattheconfigurationrequired. TaskAreas Tokeeptrackoftheprogressforeachbusinessarea,itisnecessarytoconfiguretaskareas.Intheaboveexample,thetaskareasresemblethesubledgers,butacompanyisfreetodefinethetaskareasinanywaytheywant. ClosingRoles Inthesameway,closingrolesmustbedefined.Ataskisalwaysassociatedwithaclosingrole,soitispossibletotrackprogressbyclosingrole. Asthefollowingexampleshows,foreachclosingrole,itispossibletodefinethepersonsworkinginthatrolebylegalentity.Whenaclosingscheduleisgenerated,thesystemwillautomaticallyassigntaskstoresourcesinarole,butthiscanbeoverriddenbythemanager. Calendars Lastly,wemustdefineclosingcalendarstousewhenwegeneratetheclosingschedule. Intheaboveexample,IhavecreatedtheclosingcalendarforNovember2019.SinceIhavedecidedthatworkisnotdoneonSaturdayandSunday,theclosingschedulecantakeuptofiveworkingdays. TheClosingTemplate Withthebasicconfigurationinplace,itistimetocreatetheclosingtemplate.Asmentionedabove,thetemplatecontainsallthetasksthatmustbecarriedoutaspartoftheperiodcloseprocess.Thefollowingexampleshowsthetemplatetasklistforamonthendprocess.Anorganisationcanhaveasmanytemplatesastheylikeandusethemforspecificpurposes. Ifwetakethe“Verifycustomeraging”taskasanexample,wecanseethatitmustbecarriedoutontheseconddayoftheprocess(offset+1)before12:00pm.Thetaskfallswithinthe“ARPaymentsClerk”closingroleandisapplicabletomultiplelegalentities.Thetasklinkpointstothe“Customeragingreport”. Ifweclickonthe Setdependencymenupoint,wecanseethatthetaskdependsontwoothertasksthatmustbecompletedbeforethistaskcanstart,asthefollowingscreenshotshows. Lastly,ifweclickon Attachmentsintheribbon,wecanseethataspreadsheethasbeenattachedtothetask. Inthisexample,thespreadsheetisusedbythepersoncarryingoutthetasktoreportcustomeraging.Thisway,itispossibletoattachguidelines,documentsandspreadsheetstohelptheuserscarryoutthetask. GenerateClosingSchedule Nowitistimetogeneratetheclosingscheduletostarttheclosingprocess. Clicking Newintheribbonbringsupthedialoguetogenerateanewclosingschedule.Inthisexample,Iamcreatingaclosingscheduleformultiplelegalentities,butitisalsopossibletogenerateindividualschedulesinstead. ProcessingaPeriodClose Oncetheclosingschedulehasbeengenerated,itispossibletoselectitatthetopoftheworkspaceasshownbelow. Asyoucansee,theworkspacehasnowbeenpopulatedwithdatabasedontheclosingschedule. Inthe Tasksandstatussectionintheworkspace,itispossibletoviewtasksgroupedbylegalentity,taskareaorperson.Itisalsopossibletoclickonthe Tasklistandseealltasks. Inthefollowingscreenshot,IhavefilteredthelistonArea=“Accountsreceivable”andTask=“Verifycustomeraging”.Basedonthetemplate,thetaskhasbeengeneratedinmultiplelegalentities. Byhoveringoverthepadlockontheline,theusercanseethetasks,whichmustbecompletedbeforethistaskcanstart(taskdependencies),asshowinthisscreenshot. Inthiscase,Arniemustfirstdothebillingandthenposttheopenpaymentjournalsbeforehecanverifycustomeraging.IfArnieticksthe Completedfieldheistoldtocompletethetaskdependenciesfirst. Asthefollowingscreenshotshows,oncethetaskdependencieshavebeencompleted,thepadlockisremovedandArniecancompletethetask. BeforeArniecompletesthetask,heclickson Templateattachments andopenstheattachedspreadsheettemplate. Oncehehasfilledinthetemplate,heattachesthespreadsheettothetaskforfuturereference.Arnienowcompletesthetaskbytickingthe Completedfield. CorrectingtheSchedule Inreallife,theclosingschedulemayrequiresomeadjustmentsaswegoalong. Therefore,itispossibleadd,removeandedittasksintheschedule. ClosingScheduleStatus Therearenumerouswaystofollow-upontheclosingschedule.Inthefollowingexample,Ihaveselectedthe“Accountsreceivable”closingareaandasyoucansee,42of45tasksarestillremaining.Atthetopofthelist,Icanseethe(3)completedtasks.Thesystemalsotellsmethatthe“Accountsreceivable”areais6.67%complete. Atthetop,itispossibletofilterondueandpastduetasksaswellasonlegalentity. Thisway,thefinancemanagersandindividualuserscanfollowprogress.Ifataskbecomesoverdue,itwillbemarkedwitharedexclamationmark.Also,onthelefthandsideoftheworkspace,fourstandardtilesshowstatusinformation. Under Generalledger/Periodclose/Allfinancialperiodclosetasks,itispossibletocreatenewtilesandlistsandaddthemtotheworkspaceaspersonalisation.
