Whydoweprocessyourdata? Purposeoftheprocessingoperation:TheDeputyDirectorGeneralofDGCOMMUNICATIONinchargeofissuesrelatedtotheEuropeanCommissionRepresentationsandcitizens'outreachintheMemberStates(referredtohereafteras"DataController")collectscontributionstothebroaddebateonthefutureofEuropetoenhancetheCommission'sunderstandingofcitizens'concerns.Forillustrativepurposes,acontribution(oranextractofit)mightbesharedbytheCommissionwithawideraudiencethroughCommissionchannelslikeawebpage,publication,socialmedia,aspeech,etc.Whentheseextractsaresharedwithawideraudience,thiswillbedoneanonymouslyunlessthecontributingperson(hereafterthe"datasubject")hasexplicitlyagreedtotheuseofhis/herpersonaldatatogetherwiththe(extractofthe)contributionafteranexplicitindividualrequestbytheCommission. Whichdatadowecollectandprocess? Onlydatanecessaryforsubmittingcontributionscanbecollectedandprocessed,namelydataneededforanonymousstatisticalpurpose:country,gender,agegroup,educationlevel,profession,languageofcontributionandcontribution.Allcontributionscanbesubmittedanonymously,withoutprovidingfirstname,familyname,e-mailaddress.Ifyoudecidetoprovideyournameandemailaddress,theycouldonlybeusedbytheCommissiontoallowtheCommissiontocontactthedatasubjectforrequestinghis/herexplicitagreementonsharing/publishingthe(extractof)thecontribution.Ifthisthisagreementisnotgiven,theCommissioncanusethecontributiononlyanonymously.Nameandemailaddressmayalsobeusedtosendclarificationsandfeedbackontheresultsofthesurvey. Thedataaregivenbydatasubjectsonavoluntarybasis.Nodatafieldsfallunderarticle10ofRegulation45/2001. Lawfulnessoftheprocessingoperation: Theprocessingoperationsofpersonaldatainthecontextofconsultationsarenecessaryandlawfulunderarticle5(a)ofRegulation(EC)45/2001. Stakeholdersandthepublicatlargesendtheircontributionstopublicconsultationsonavoluntarybasis(Art.5(d)Regulation45/2001). Howlongdowekeepyourdata? Theconsultationwillstaypublishedonlinefor13monthsasof9May2018. TheControlleronlykeepsthedataforaslongasfollow-upactionsonthecontributionarenecessarywithregardtothepurpose(s)oftheprocessingofpersonaldata. Allpersonaldatawillbedeletedfromdatabases1yearafterthelastactioninrelationtotheConsultation.ReportscontainingpersonaldatawillbearchivedaccordingtotheCommission'slegalframework. Alldatainelectronicformat(e-mails,documents,uploadedbatchesofdataetc.)arestoredontheserversoftheEuropeanCommissiontheoperationsofwhichabidebytheEuropeanCommission’ssecuritydecisionof16August2006[C(2006)3602]concerningthesecurityofinformationsystemsusedbytheEuropeanCommission. Whohasaccesstoyourdataandtowhomisitdisclosed? PersonaldatacollectedinthiscontextmaybecomepartofadatabasewiththepurposeoffacilitatingtheinteractionbetweentheEuropeanCommissionanditsstakeholdersintheirareasofinterest.Ifpersonaldatawillbesharedwithstakeholders,thenaspecificnotificationwillcoverthisprocessing.
