Besidesthecreditlimitautomation,thecreditmanagementfeaturehasafunctionalityrelatedtocustomersalesorders.Withtheorderblockingfunctionality,theorder-to-cashprocessismorecontrolled,easytomanageanditispossibletoidentifytheprocessesthatneedmoreattention.Thesystemwillstoptheprocessbasedonseveraltriggersincludingthecreditlimitpreviouslydefined. CustomerInformation Theaccountstatus(CreditandCollections>Setup>Creditmanagementsetup>Accountstatuses)isanewfieldinthecustomermasterthatrepresentsthecreditstandingforacustomer.Thestatusaffectstheinvoicinganddeliveryprocessandcanbeusedtodetermineblockingrulesforthecustomer. Forexample,youcanuse“Open”toindicatethatthecustomerisingoodstanding,whichmeansthatitwillnotbeonhold,anduse“Hold”statustorepresentacustomerthatshouldhavetoinvoiceanddeliveringonhold. Creditmanagementparameters–Creditmanagementcheckpoint Theorderblockisausefulfunctionallytopreventthecompanytotakeunnecessaryrisksregardingcustomerorders.Thecreditmanagementfeatureoffers5triggersoutoftheboxinwhichispossibletoblockthecustomersalesorder.TheusercanselectwhichonesaremoreefficienttoeachbusinesscontextinCreditandCollections>Setup>Creditmanagementparameters>Credittab>Creditmanagementcheckpointfasttab. Ineachoneofthe5momentsoftheorder-to-cashprocess,itispossibletochecktheblockingrulesandifisthecaseputanorderonhold.Anordercanbeautomaticallyblockedinthesemoments: Confirmation:Whenthesalesorderisconfirmeditcanbeputonholdandonlyafterthereleasetheconfirmationissucceeded Pickinglist:Atthemomentofthegenerationofthepickinglist.Afterthereleasedalistoftherequireditemsissenttothewarehouseandtheorderfulfilmentprocesscanbegin. Releasedtowarehouse:Whentheorderisreleasedtothewarehouse.Theshipmentisonlycreatedaftertheorderrelease. Packingslip:Whenthepackingslipissent.Aftertheorderrelease,thecustomerwillreceiveadocumentthatdescribesthecontentoftheshipment. Invoice:Whentheorderisinvoiced.Theinvoicewillbecreatedaftertheorderrelease. Itispossibletostoptheorderifnecessary,byselectingthecheckboxforpostingoreventoaproforma. Thecolumncalled“gracedays”isusedtodeterminethenumberofdaysforwhichthesaleorderholdthatwaspreviouslyreleasedwillnotbeappliedtotheblockingrulesagain.Forexample,iftheorderhasblockedintheconfirmationstageandhasbeenalreadyreleasedbytheuserorthesystemautomatically,duringtendaysafterthereleaseddate,thesystemwillnotapplytherulestothatorder,evenifthenextstepsontheordertocashprocessaredefinedasmandatorytochecktheblockingrules. BlockingRules Toautomaticallyplaceasalesorderoncreditholdthesystemuseblockingrules,bymatchingseveralcustomerinformationtotheconditionsdefinedintheblockingrules.Thiscanbeusedtogivemoreautomationtotheprocessaswelltoimprovetheefficiencyandcoordinationofthecreditandsalesteams. Therearenineblockingrules,twoofthembasedonrankings(rules1and2)and7regardingspecificcustomerororderinformationthatisdefinedintheformCreditandCollections>Setup>Creditmanagementsetup>Blockingrules.Therearetworuletypesineachoneoftherules.TheBlockingtypewillblockanorderifitmatchesthecriteria,andtheExclusiontypewillexcludetheorderfrombeingblocked,givenspecificconditions. Rule1:Rankpaymentterms Thisblockingruleisbasedontherankingoftermsofpayment.Everycustomerhasatermofpaymentassociatedwith,sowhenasalesorderhascreatedthattermofpaymentisalsoassociatedwiththeSO.InCreditandCollection>Setup>Creditmanagementsetup>Rankpaymenttermsformitispossibletorankthepaymenttermsandassignthemarankingvalue.Regardingthis,whenaSOiscreatedandiftheuserchangesthedefaulttermofpaymenttoonewithadifferentranking,theorderwillbesenttocreditmanagementandrequiredapprovalforrelease. Rule2:Ranksettlementdiscounts Suchasthetermsofpayment,thisblockingruleisbasedonarankingofthesettlementdiscountassociatedwitheachcustomerandtothesalesorder.IntheCreditandCollection>Setup>Creditmanagementsetup>Ranksettlementdiscountsformyoucanrankthedifferentsettlementdiscount.Ifinthesalesorder,thesettlementdiscountischangedtoonewithadifferentrankoftheoriginal,thesalesorderwillbesenttothecreditmanagementforapproval. Rule3:DaysOverdue Thisrulewillplaceanorderonholdregardingthecustomerwithatleastoneinvoiceoverdueforacertainnumberofdays.Itispossibletoconfigurebytable(foraspecificcustomer),group(Creditmanagementgroup,and/orriskgroup)orforallcustomers.Thenumberdefinedintheformrepresentsanadditionalnumberofdaystothepaymentduedateoftheinvoice. Rule4:AccountStatus Thisruleisbasedontheaccountstatusofthecustomer.Thesalesorderissenttocreditmanagementautomaticallyiftheaccountstatusoftherelatedcustomermatcheswiththedefinedintherule.Forexample,anyorderforacustomerwithanaccountstatus“Hold”willbeblockedandsenttothecreditmanagementforapproval. Rule5:Termsofpayment Thisruleisanadditiontotherankpaymenttermsrule(rule2).However,thisonewillcheckforspecifictermsofpaymentandplacetheorderoncreditholdifthetermofpaymentdefinedmatchedwiththetermofpaymentsoftheorder.Forexample,ifthesalesordertermsofpaymentiscashtheorderwillbeautomaticallyassignedtothecreditmanagement. Rule6:Creditlimitexpired Withthisrule,theorderwillbeblockedwhenthecreditlimithasexpiredforacertainnumberofdays.Itcanbeappliedtoarangeofcustomersdividedpergroup(creditmanagementgroup),toaspecificcustomerortoall.Thenumberofdaysdefinedinthisruleisanintervalinwhichitispossibletoupdatethecreditinformationofthecustomer,afterthat,allorderswillbeonhold.So,ifthecreditlimitwasexpiredfor30daysormore,thecustomerwillhavehisordersblocked. Rule7:Overdueamount Overdueamountruleisacombinationoftwofactors:theoverdueamountandthecreditlimitthreshold.Afterdefiningtherangeofcustomersforwhichthisruleisapplied(specific,creditmanagementgroups,orall)youcandefinethelimitamountthatwillblocktheorder.Thisrulealsoinvestigatesthepercentageofcreditlimitthathasbeenused.So,anorderwillbeputonholdifitexceedstheoverdueamountandifthecustomerisover80%oftheircreditlimit. Rule8:Salesorder Theruleisbasedonthetotalvalueofthesalesorder.Thatmeansthattheorderwillbeblockedifthetotalamountisgreaterorlessofaspecificvalue.Thisrulehasanadditionalparameterthatoverwritesalltheotherblockingrules.Thissalesorderrulecanhaveanexclusionlinethatwillreleasetheorderoverotherrules.Byselectingtheexclusiontypeandthenselectingthe“releasesalesorder”checkbox,allordersthathaveanamountsmallerthan1,000willbeautomaticallyreleasedevenifitshouldbeblockedbyotherrules. Rule9:Creditlimitused Thecreditlimitusedruleappliestothecustomercreditlimitamountalreadyused.Bydefiningathresholdremainingitwilldefineapercentageofcreditlimitthatblockstheorder.Thismeansthatifthevalueoftheorderexceedsthevalueofthecreditlimit(consideringthepercentagedefined)theorderwillbeblocked. Thecreditlimitusedruleiscontrolledbythecreditandcollectionsparameters.Thisrulewillonlyberunifthe“Checkcreditlimitforsalesorder”parameter(undercredittab>Creditlimitfasttab)issettoYES.IftheMessagewhenexceedingcreditlimitissettowarning,therulewillrun,andtheuserwillhaveanoticewhenthecreditisexceeded.IftheMessagewhenexceedingcreditlimitissettoerror,therulewillrunandputtheorderonhold,buttheuserwillnotreceiveanerrormessage. Hierarchy Creditlimitcheck-uphierarchy Creditmanagementbringsanewhierarchytocheckthecreditlimittoputanorderonhold.So,first,thesystemwillcheckthecreditlimitforthecustomercreditgroups,ifthecustomerbelongstoagroup.Afterthatwillchecktheinduvialcreditlimit,lookingfirstatthetemporarycreditlimit,includingtheinsuranceandguarantee,andfinallythecustomercreditlimitincludingtheinsuranceandguarantee. BlockingRuleshierarchy TheExclusionruleinsalesorderrulecanoverwritealltheothersiftheexclusionistrue.Anyotherexclusionrulerunaftertheblockingrules.Thatexclusionrulesonlyaffecttheruleinwhicharedefined.However,exclusionrulesdonotoverridetheblockingruleiftheyareatthesamelevel.BlockingandexclusionrulesrunfirstinTable,thenGroup,thenAllorders. BlockingOrderProcessandExample Creditmanagementfunctionalitystopstheorder-to-cashprocesstogivespecialattentiontoriskbusinessfactors.Letuslooktoanexampleonhowtodealwiththeorderblockingandrelease.Inthisscenario,Ihadcreatedasalesorderandchangedthetermsofpaymentandsettheexpirationdateofthecreditlimitasoverdue,sotheordershouldbesenttothecreditmanagementteamonceitisconfirmed. Aftertheorderissenttothecreditmanagement,inthesalesorderform,undercreditmanagementtabontopthereisalinktothecreditmanagementholdlist(orgotoCreditandCollections>Creditmanagementholdlist>Allcreditholds)toseeallsalesorderthathasbeenputonhold. Everylinehasinformationaboutthesalesorderandthecreditholdreasons.Ifmorethanoneblockingrulehasbeenbroken,itwillindicatethataremultipleholdreasons.So,ontopoftheform,itispossibletoseealltheblockingreasonsforwhichtheorderhasbeenblocked.Forthisexample,hasmentionedbefore,thereasonsarecreditlimitexpiredandtermsofpaymentchanged. Releaseorder Itispossibletomanuallyreleaseaholdorderusingthebuttonreleaseontop,whichwillgiveareleasedreasontotheorderandsettheorderstatustoopen.Thisreleaseoptionhastwoactionsthatcantakeaftertherelease.Itcanreleasetheorderwithposting,thatwillautomaticallyopentheformwheretheorderwasblocked,thiscasetheorderconfirmationform,orwithoutpositing,thatwilljustchangetheorderstatustoopen. Rejectorder Therejectoption,accessedbythebuttonrejectsontop,willremovetheorderformtheholdlist,andthesalesorderheaderwillbechangedtoshowthattheorderhasbeenrejected.Italsowillrequestareasonforthat. Automaticallyreleasedorder WiththebuttonEvaluateforrelease,itispossibletoautomaticallyreleaseanorder.Thisfunctiontellsthesystemtoruntheblockingrulesagainandcheckiftheordersarestillvalidtobeheld.Thisprocesscanberuninabatchjobandiftheruleisnolongerappliedtotheorder,thesystemwillautomaticallysettheorderstatustoopenandallowtheorder-to-cashprocesstobecontinued.
